Background Check Policy

At SAYAA, the safety and well-being of our participants are our top priorities. As part of our commitment to providing a secure environment, all volunteers participating in season events are required to undergo a background check. Please review the following policy regarding volunteer background checks:

1. Scope of Policy:
   
   • This policy applies to all volunteers who will be involved in season events, including but not limited to practices, games, tournaments, and team activities.
   • Volunteers may include coaches, assistant coaches, team managers, chaperones, and any other individuals directly involved in supervising or interacting with participants.

1. Background Check Process:
   
   • Prior to participating in any season events, volunteers must complete a background check through a designated provider or agency selected by SAYAA.
   • The background check will include a review of criminal history, sex offender registry, and any relevant records to ensure the safety of our participants.
   • Volunteers will be required to provide consent for the background check and may be asked to provide additional information or documentation as needed.

1. Confidentiality and Privacy:
   
   • All information obtained through the background check process will be treated as confidential and will only be accessed by authorized personnel responsible for screening volunteers.
   • Personal information gathered during the background check will be handled in accordance with applicable privacy laws and regulations.

1. Disqualification Criteria:
   
   • Individuals may be disqualified from volunteering based on the results of their background check, including but not limited to convictions for violent crimes, offenses involving minors, or other relevant concerns.
   • SAYAA reserves the right to determine disqualification criteria and make decisions regarding volunteer eligibility based on the information obtained through the background check process.

1. Appeals Process:
   
   • Volunteers who are disqualified based on the results of their background check will be notified in writing and provided with information on the appeals process.
   • Individuals may have the opportunity to appeal the decision by providing additional information or documentation to address any concerns raised during the background check.

1. Compliance and Enforcement:
   
   • Failure to complete the background check process or comply with the requirements of this policy may result in the volunteer being ineligible to participate in season events.
   • SAYAA reserves the right to take appropriate disciplinary action, up to and including dismissal from volunteer duties, for non-compliance with this policy.

   • SAYAA reserves the right to update or modify this background check policy as needed to ensure the safety and security of our participants.
   • Any changes to the policy will be communicated to volunteers and posted on our website or distributed through other appropriate channels.
